Curatorial Assistant, Modern and Contemporary Art (Regular/Part-time)

JOB PURPOSE:
To provide support to the Curator of Modern and Contemporary Art.

WORK SCHEDULE:
· This is a part-time position, approximately 20 hours/week.
· General hours of operation are Monday-Friday, 9am-5pm with occasional evenings.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

1. Administrative:
· Assist curator with any projects he/she is working on to include the following: type and often draft correspondence and memos; maintain files on exhibitions, artists, correspondence, donors, budgets, etc.; open and organize each day's mail; answer the phones; schedule meetings.
· Process bills and keep track of budgets and expenses for department and exhibitions.
· Manage interns.
· Make arrangements for curator's travel and prepare travel expense voucher after trip.
· Track outside exhibition proposals and portfolio reviews.
· Assist with Friends programming and meetings.
· Attend meetings in curator’s absence.
· Work with Public Programs, Membership, and other departments on departmental presence ant public and special events.

2. Exhibitions:
· Type and update fact sheets; prepare and update checklists and prep lists on TMS; produce copy for all graphics for graphics technician; proof copy; maintain log of exhibition proposals received and correspondence with organizing institutions; circulate proposals for our own exhibitions; gather mailing lists for some openings.
· Assist registrars department with installation, conditioning and gallery checks, as needed.

3. Collection:
· Keep collections records up-to-date using The Museum System (TMS) software.
· Notify registrars when label information has been updated; work with registrars to coordinate details of acquisitions and of collections management.
· Gather information on all proposed acquisitions each quarter and end-of-year, including digital image to be imported into TMS.

4. Writing:
· Assist curator in preparation of wall texts, object labels, HighLife texts, and justifications for new acquisitions, as needed.
· Proofread all copy for printed materials, including press releases, exhibition signage and labels, invitations, and letters.

QUALIFICATIONS:

Education/Experience:
· Bachelor’s degree.
· Experience in art museum or gallery including exhibition preparation and handling works of art preferred.
· Knowledge of art history helpful, particularly Modern and Contemporary Art.
· Experience using basic art history reference books preferred.

Additional Skills and Abilities:
· Highly proficient with MS Word, Windows, Excel, PowerPoint, Outlook (email/scheduling), and similar databases and digital imaging technology. Training on TMS will be provided.
· Excellent written and oral communication skills.
· Must be well-organized and detail oriented.

Language Skills:
· Reading knowledge of foreign language(s) desirable.
· Ability to write correspondence as well as exhibition related copy.
· Ability to communicate effectively with museum staff, museum volunteers and museum members.

Mathematical Skills:
· Experience in bookkeeping preferred.
· Ability to maintain departmental files, keep budget, and process invoices.

Reasoning Ability:
· Ability to solve practical problems and prioritize needs in a variety of situations where standardization is limited and immediate decisions are necessary.

Some standing, walking, bending, frequent use of hands, stooping and light lifting (at least 10 pounds) is needed.
